Best Uganda Safari Company

Welcome to Kurikayo Africa Adventures Terms and Conditions.

Before booking your safari, we encourage you to carefully read and understand our Terms and Conditions. By confirming a reservation with Kurikayo Africa Adventures, you acknowledge that you have read, understood, and agreed to the provisions outlined below.

These terms explain our booking procedures, payment requirements, cancellation policies, travel responsibilities, and other important arrangements.

Should you require clarification on any part of these terms, please contact our team.

Application of Terms and Conditions

These Terms and Conditions govern all safari bookings and travel arrangements made between Kurikayo Africa Adventures (referred to as “the Company”) and its clients.

The terms apply to the tour arrangements described in the confirmed safari itinerary and any accompanying travel documentation provided to the client.

Any flexibility, extension, or exception granted by the Company shall not constitute a permanent waiver of its contractual rights. Kurikayo Africa Adventures retains the right to enforce the provisions of this agreement.

References to a “client” also include an authorized representative or travel agent acting on behalf of the traveller, where applicable.

Applicable Law and Jurisdiction

These Terms and Conditions shall be regarded as having been entered into in Kampala, Uganda, and shall be governed by the laws of the Republic of Uganda.

Any legal disputes relating to these terms shall fall under the jurisdiction of the competent Magistrates’ Courts of Uganda. Kurikayo Africa Adventures reserves the right to initiate proceedings before the High Court of Uganda where appropriate.

Throughout the safari, clients are expected to respect and comply with the laws, customs, immigration requirements, foreign exchange regulations, and other applicable rules of each country visited.

1. Safari Bookings and Reservations

1.1 Safari Services

Kurikayo Africa Adventures organizes safari experiences through a combination of services that may include ground transportation, accommodation, meals, guided excursions, national park visits, wildlife activities, and other travel arrangements.

Some services are provided in collaboration with independent hotels, lodges, transport operators, park authorities, and other tourism service providers.

1.2 Accuracy of Safari Information

We make every reasonable effort to ensure that information presented in our safari itineraries, quotations, and travel documents is accurate and current when issued.

However, information supplied by third-party providers may change without prior notification. Kurikayo Africa Adventures cannot guarantee the continued accuracy of external information and shall not be responsible for obvious typographical errors.

1.3 Gorilla Trekking Permit Reservations

To arrange gorilla trekking permits, clients must provide accurate personal information, including:

Full names exactly as shown on the passport

Nationality

Passport number

This information is required to facilitate permit reservations with the relevant wildlife authorities.

1.4 Special Requirements

Clients are required to inform Kurikayo Africa Adventures of any specific needs or preferences before confirming their safari.

Such requirements may include dietary restrictions, medical considerations, accessibility needs, disabilities, accommodation preferences, or other special arrangements.

We will make reasonable efforts to accommodate these requests wherever possible. However, fulfilment cannot always be guaranteed.

1.5 Booking Availability

All safari packages, accommodation options, activities, and permits are subject to availability.

A reservation is not guaranteed until it has been formally confirmed.

Because many safari lodges and camps have limited accommodation capacity, early booking is strongly recommended.

1.6 Changes to Confirmed Reservations

Clients wishing to modify an existing booking should notify Kurikayo Africa Adventures as early as possible.

We will endeavour to make the requested changes where practical and subject to availability.

Additional costs arising from amendments, including supplier charges or administrative expenses, may be added to the final safari invoice.

1.7 Changes Before Arrival

Kurikayo Africa Adventures reserves the right to adjust safari itineraries, accommodation, transportation, or scheduled activities where unexpected circumstances make such changes necessary.

Whenever possible, clients will be informed of significant changes before the safari begins.

2.4 Price Adjustments

Kurikayo Africa Adventures may revise safari prices where changes occur in exchange rates, accommodation charges, park fees, transportation costs, or other essential services.

We will make reasonable efforts to minimize any additional costs passed on to our clients.

3. Safari Operations and Travel Arrangements

3.1 Wildlife Sightings

Wildlife safaris take place in natural environments where animals move freely.

Although our guides use their experience and local knowledge to maximize wildlife viewing opportunities, sightings of particular animals cannot be guaranteed.

Clients must follow the instructions provided by their driver-guides, park rangers, and other authorized personnel when observing wildlife.

3.2 Gorilla and Chimpanzee Tracking

Gorilla and chimpanzee tracking permits authorize participation in the relevant tracking activity, subject to applicable park regulations.

However, these permits do not guarantee clear, close, or uninterrupted sightings of the primates.

Wildlife movements, weather conditions, vegetation, and other environmental factors may influence the experience.

3.3 Accommodation Arrangements

Accommodation is generally provided in twin or double rooms, tents, or traditional bandas, with private bathroom facilities whenever available.

Single accommodation may be arranged upon request, subject to availability and payment of an applicable single-room supplement.

3.4 Accommodation Substitutions

If a confirmed hotel or lodge becomes unavailable, Kurikayo Africa Adventures may arrange alternative accommodation of a similar or higher standard.

Where equivalent accommodation is unavailable, we may recommend the best suitable alternative.

If the replacement involves a higher accommodation category, additional charges may apply.

3.5 Safari Transportation

The type of vehicle used during a safari depends on the number of travellers, the destination, road conditions, and the requirements of the confirmed itinerary.

We endeavour to provide reliable and roadworthy vehicles suitable for the planned journey.

Nevertheless, unexpected vehicle breakdowns, punctures, mechanical problems, difficult road conditions, and other transport-related delays may occur.

Kurikayo Africa Adventures cannot guarantee that journeys will always proceed without such interruptions.

3.6 Driver-Guides

Our safari experiences are supported by experienced English-speaking driver-guides.

Only authorized drivers are permitted to operate safari vehicles arranged by the Company.

For operational and safety reasons, the driver-guide has final responsibility for decisions relating to driving routes and road travel.

3.7 Changes During the Safari

Kurikayo Africa Adventures may modify travel routes, activities, accommodation, or other arrangements when necessary because of circumstances beyond its reasonable control.

Such circumstances may include adverse weather, road closures, security concerns, national park restrictions, accommodation disruptions, or other unexpected developments.

Where possible, suitable alternative arrangements will be offered to minimize inconvenience.

3.8 Independent Service Providers

The Company may engage third-party contractors, transport operators, accommodation providers, and other suppliers to fulfil some or all components of a safari.

3.9 Refusal or Termination of Participation

Kurikayo Africa Adventures reserves the right to refuse participation or remove a traveller from a safari when that individual’s conduct creates, or is reasonably considered likely to create, danger, disruption, damage to property, or harm to wildlife and the environment.

Such decisions may be made by the Company, its representatives, or other authorized officials.

Where participation is terminated because of unacceptable conduct, no refund shall be payable under this policy, and the Company shall not be responsible for additional expenses incurred by the affected traveller, subject to applicable law.

4. Payment Terms and Conditions

4.1 Booking Deposit

A safari reservation will be confirmed upon receipt of a deposit equivalent to 30% of the basic safari package price.

Where the itinerary includes gorilla trekking, chimpanzee tracking, or other activities requiring advance permit reservations, the full permit fee must be paid before the permits can be secured.

4.2 Final Balance

The remaining safari balance must be paid no later than 42 days before the scheduled safari commencement date, unless a different payment arrangement has been agreed upon in writing.

4.3 Last-Minute Bookings

Reservations made within 42 days of the intended arrival date require full payment at the time of booking confirmation.

4.4 Failure to Complete Payment

Kurikayo Africa Adventures reserves the right to cancel a reservation if the required payment is not received within the agreed period.

4.5 Accepted Payment Methods

Payments may be made through bank transfer or cash, in accordance with the payment instructions provided by the Company.

All payments must be completed before the safari begins.

4.6 Bank and Transaction Charges

Any charges associated with international money transfers or related financial transactions are the responsibility of the client.

The amount received by Kurikayo Africa Adventures must cover the required safari payment.

5. Safari Cancellations and Refunds

5.1 Cancellation Requests

All cancellation requests must be submitted to Kurikayo Africa Adventures in writing.

The effective cancellation date shall be the date on which the Company receives the written notification.

5.2 Cancellation Charges

The following cancellation charges apply to the basic safari package price:

6. Complaints and Customer Feedback

6.1 Our Commitment

Kurikayo Africa Adventures strives to provide enjoyable, professionally organized, and memorable safari experiences.

We welcome constructive feedback and suggestions that help us maintain and improve the quality of our services.

6.2 Reporting Complaints

Any complaint arising during a safari should be reported immediately to the designated Company representative or driver-guide and, where relevant, to the service provider concerned.

This allows the responsible parties an opportunity to address the issue promptly.

If a complaint remains unresolved, the client should submit a written explanation to Kurikayo Africa Adventures within 30 days after completing the safari.

6.3 Late Complaints

The Company may decline responsibility for complaints that have not been reported through the required procedure, to the extent permitted by applicable law.

7. Liability and Travel Responsibilities

7.1 Service Delivery

Kurikayo Africa Adventures makes reasonable efforts to ensure that all confirmed safari arrangements are delivered as agreed.

Although we carefully select the third-party providers involved in our tours, some services are outside our direct operational control.

The Company shall not accept responsibility for errors or omissions attributable solely to independent suppliers, except where applicable law provides otherwise.

7.2 Personal Injury and Property Damage

7.5 Travel Documentation

Clients, travel agents, and booking representatives are responsible for ensuring that all participating travellers possess valid passports, visas, permits, health certificates, and any other documentation necessary for the destinations included in the itinerary.

7.6 Health and Personal Safety

Travellers are responsible for taking appropriate health and safety precautions before and during their journeys.

We strongly recommend consulting a qualified medical professional before travelling, particularly where the itinerary involves physically demanding activities or destinations with specific health requirements.

7.7 Travel Insurance

All travellers are strongly advised to obtain comprehensive travel insurance before beginning their safari.

Suitable insurance should ideally cover medical emergencies, evacuation, trip cancellations, personal accidents, lost luggage, and other travel-related risks.

7.8 Applicable Transport Laws

Liability relating to passengers transported in vehicles operated by the Company shall be governed by the laws applicable in the relevant country.

Legal claims shall be subject to the jurisdiction of the appropriate courts where the cause of action arises.

8. Safari Vehicles and Travel Comfort

Kurikayo Africa Adventures aims to provide comfortable and reliable transportation suitable for African safari adventures.

Depending on the destination, group size, and selected package, transportation may include 4×4 safari Land Cruisers, safari minibuses, or suitable buses.

Our safari vehicles are selected with passenger comfort, wildlife viewing, and photography opportunities in mind.

For sightseeing and game-drive experiences, we aim to arrange suitable window-viewing opportunities for participating travellers.

We make every reasonable effort to maintain high standards of vehicle safety and cleanliness throughout the journey.

9. Age Restrictions for Safari Activities

Participation in certain wildlife activities is subject to age restrictions and regulations established by the relevant wildlife authorities.

Under the age policy in this document, children below 12 years are not permitted to participate in the specified activities within the following protected areas:

Age requirements should always be confirmed against the current regulations of the relevant destination and wildlife authority before making a reservation.

10. Passports, Visas, and Travel Documents

Every traveller is personally responsible for obtaining and maintaining the documents required for international travel.

These may include valid passports, entry visas, vaccination certificates, travel permits, and other documents required by the authorities of the countries visited.

Clients should ensure their passports remain valid for the period required by the destination country and that all necessary travel documents are obtained before departure.

Kurikayo Africa Adventures shall not be responsible for losses, travel interruptions, or additional expenses caused by incomplete, invalid, or missing documents that are the responsibility of the traveller.

The Company shall also not be responsible for luggage loss or damage caused by circumstances outside its reasonable control.

11. Health and Physical Fitness

African safaris may involve walking, hiking, uneven terrain, long-distance road travel, and outdoor activities that require a reasonable level of physical fitness.

By booking a safari, clients acknowledge that they are responsible for assessing their ability to participate in the activities included in their travel programme.

Travellers should disclose relevant medical concerns that may affect their participation so that appropriate arrangements can be considered.

Travellers Over 85 Years

Clients older than 85 years must provide a medical certificate or letter from a qualified doctor confirming their fitness to undertake the planned safari.

A completed medical questionnaire is also required to help assess the traveller’s ability to participate safely.

Kurikayo Africa Adventures will not confirm a booking for travellers within this age category without the required documentation under this policy.

12. Conduct and Authority During the Safari

All travellers are expected to respect the laws, cultures, customs, and regulations of the destinations they visit.

Clients must also follow reasonable safety instructions provided by safari guides, park authorities, and other authorized personnel.

Behaviour that threatens the safety, comfort, property, or well-being of fellow travellers, staff, wildlife, or local communities will not be tolerated.

Kurikayo Africa Adventures and its authorized representatives reserve the right to exclude a traveller from an activity or terminate their participation where serious misconduct creates a safety risk or significant disruption.

Under this policy, travellers removed because of unacceptable conduct shall not be entitled to reimbursement of the unused portion of the safari or compensation for additional expenses arising from their removal, subject to applicable law.

13. Photography, Video, and Marketing

Photographs and video recordings may be captured during safaris for purposes of documenting travel experiences and promoting Kurikayo Africa Adventures.

The Company may seek to use suitable photographs or video footage in website content, social media, brochures, and other promotional materials.

The use of identifiable client images should be subject to appropriate consent and applicable privacy requirements.

14. Unforeseen Circumstances

Travel in Africa may occasionally be affected by circumstances that cannot reasonably be predicted or prevented.

Such circumstances may include severe weather, political disturbances, road restrictions, mechanical breakdowns, security concerns, and other unexpected events.

These situations may require changes to scheduled routes, departure times, accommodation, or activities.

Kurikayo Africa Adventures will make reasonable efforts to provide suitable alternatives where feasible.

The Company shall not be responsible for losses resulting from circumstances beyond its reasonable control, except as required by applicable law.

15. Safari Documentation and Pre-Departure Information

Once a safari reservation has been confirmed, clients will receive relevant travel documentation.

This may include the confirmed itinerary, booking details, accommodation information, and useful pre-departure guidance.

Clients are responsible for reviewing these documents and seeking clarification on any information they do not understand before travelling.
